Book appointments from the customer record and send invites your customer can confirm, reschedule, or cancel.
Appointments start from the customer. Booking one sends your customer a real calendar invite — the kind that drops straight onto their own calendar — and gives them buttons to confirm, reschedule, or cancel without calling your office.
You can also open the same sheet from the ⚡ ACTIONS menu on the customer header — choose SCHEDULE.
§The Customer Schedule sheet
The 📅 icon opens the Customer Schedule sheet: every upcoming and past appointment for this customer, each showing its RSVP state so you can see at a glance who has confirmed. Book new appointments from here — they also appear on the unified CALENDAR tab and in the customer's Upcoming Appointments widget if you have added it to their Overview.
§What your customer receives
Your customer gets an invite email carrying three buttons — CONFIRM, RESCHEDULE, and CANCEL — each of which opens a dedicated appointment page. No portal login or password is needed to respond.
The invite is a real calendar invite, not a plain email. Gmail, Outlook, and Apple calendars render it natively, so the appointment lands on your customer's own calendar the way any meeting invite would.
§Reschedules and cancellations
When an appointment moves, the system updates the same invite instead of sending a new one — your customer never ends up with duplicate entries fighting for the same slot. Cancel the appointment and the invite is retracted from their calendar.
§Reminders
Reminder timing is a company-level setting. Admins choose the offsets — 1 week, 1 day, 2 hours, 1 hour, or 15 minutes before — under Masthead ⚙ gear → Admin Console → ORGANIZATION → Calendar.
