SCHEDULING WORK ORDERS

§ CALENDAR + SCHEDULING3 min READUPDATED 2026-08

Plan crew work from the JOBS hub's SCHEDULE and CALENDAR views, and set the company rules behind them.

Work orders carry the schedule for your crews and subcontractors. The JOBS hub gives you dedicated views for planning that work, and everything you schedule there flows onto the unified company calendar.

WHERE: Masthead → JOBS → SCHEDULE

The JOBS hub has five sub-tabs: ALL, SCHEDULE, BOARD (kanban), CALENDAR, and CONSTRUCTION. SCHEDULE and CALENDAR are the two scheduling views; ALL is the full list, with bulk status changes and CSV export when you need to move many work orders at once.

§Create and schedule a work order

Create a work order with + in the JOBS hub, or from a customer's WORK ORDERS tab with + NEW (an inline create modal). Assign a crew or a subcontractor as part of the work order. Rows on the customer's WORK ORDERS tab show a DAY tile — the offset from the first scheduled date — along with the task or scope, the WO#, who is assigned, and a status chip.

§See it on the calendar

Scheduled work orders appear in JOBS → CALENDAR and on the company-wide CALENDAR tab alongside appointments, events, and tasks. Users with scheduling rights can scope the unified calendar to a single employee to check a crew lead’s day before adding to it.

NOTE
Work orders assigned to a subcontractor show up in their own portal under Jobs, where they can accept or decline the assignment and see the scope, schedule, and progress. Subs see their sub price only — customer pricing stays hidden.

§Scheduling rules (admins)

Two places control how scheduling behaves company-wide. The settings hub has Scheduling Rules and Work Order Defaults entries, and Masthead ⚙ gear → Admin Console → ORGANIZATION → Calendar sets working days, which roles are allowed to schedule, and reminder offsets.
