Post internal notes with @mentions, attachments, and voice-to-text, pin the important ones, and choose what subs can see.
The NOTES tab is your team’s internal memory on a customer — the things worth writing down that are not a message to the customer: gate codes, adjuster conversations, "homeowner prefers texts after 5pm." Notes are internal by default; nothing here reaches the customer.
§Post a note
- 01Choose
+ ADD NOTE. - 02Type your note. Use
@to mention a teammate — autocomplete searches your company roster, and mentioned teammates are notified. - 03Attach files if the note needs evidence — a supplier quote, a scanned permit.
- 04Or tap the voice-to-text mic and talk: your speech is transcribed into the note, and you can edit the text before posting.
- 05Post it.
§Pinning and jobs
Pin a note to sort it to the top of the tab — the right home for the handful of facts everyone needs first, like an access code or a standing safety warning. Notes can also be assigned to a specific job on multi-job customers, so job-specific detail stays with the job it belongs to.
§Letting subs see a note
Each note has a visible-to-subs toggle. Switched on, the note shows a SUBS SEE chip and becomes readable by subcontractors working this customer — useful for site instructions a crew genuinely needs.
MESSAGES tab’s TEAM · INTERNAL thread share the same store, so posts cross-appear in both places — they are two views of one internal conversation. The web-only NOTES masthead tab is different: that is the daily voice-notes hub, covered in the Rev AI category under "Daily notes".
