THE CONTRACTS HUB FOR ADMINS

§ ESTIMATES + CONTRACTS4 min READUPDATED 2026-08

The Admin Console DOCUMENTS group: the template library, the upload-a-PDF builder, standing AI contract language, renewals, and contract settings.

Reps send contracts from the customer record, but the machinery behind every send lives in the Admin Console. The DOCUMENTS group is where admins maintain the template library, control the legal language AI drafting draws from, watch every contract in the company — status, signer timelines, audit trails, rolled up company-wide — and set the policies the rest of the team inherits.

WHERE: Masthead ⚙ gear → Admin Console → DOCUMENTS

§The template library

Every template a rep sees in the + NEW CONTRACT picker comes from here. Build a template in the block builder, or let AI draft one and refine it — either way, the placeholders you define resolve automatically from the customer and job when a rep sends the contract.

§Build a contract on your own PDF

If your attorney already drafted your contract, you do not have to rebuild it block by block. The upload-a-PDF builder takes your existing PDF and lets you place fields — signature, initials, text, and date — directly on its pages. The result behaves like any other template: reps pick it, the send wizard routes it, signers sign it, and the sealed final document is your PDF with the fields completed.

§AI contract language

The AI contract language screen holds your standing legal language: the clauses every generated contract is required to include, your jurisdiction, and the tone drafts are written in. This is what ⚖️ GENERATE CONTRACT and ⚖️ AI CONTRACT draw from — set it once, carefully, and every AI-drafted contract starts from your terms instead of generic boilerplate.

HEADS UP
AI drafting is only as good as the standing language behind it. Have your attorney review the required clauses and jurisdiction before your team leans on generated contracts.

§Excluding a template from e-sign

Some documents legally cannot be signed electronically — certain notarized or recorded instruments, depending on your jurisdiction. Flag a template as excluded from e-sign and it will not enter the send-for-signature flow. Reps still see the template, but cannot route it for electronic signature — which is exactly the point.

§Renewals

The hub also tracks contract renewals across the company, so an agreement with a term does not quietly lapse because the rep who sent it moved on.

§Contract settings

  • Reminder cadence — turn automatic signer reminders on or off, set the interval in days, and cap the maximum number of reminders. This powers hands-off follow-up on every sent contract, alongside the manual REMIND button reps use.
  • E-SIGN AUDIT — a read-only panel showing the e-sign audit records the system keeps. Nothing to configure; it is there for review and compliance.
NOTE
Company-wide contract terms — signing-link expiry days, warranty years, and the deposit requirement and percentage — live in CONTRACT DEFAULTS under company settings, not in this hub.
