How to build, preview, and send a standard estimate — the first document most customers see from you.

An estimate is usually the first number your customer sees, and Revolve Core keeps it in the same workspace as your invoices so the whole money conversation lives in one place. This guide covers the standard estimate editor — building an estimate, previewing it, and getting it in front of your customer.

§The estimates and invoices workspace

Estimates and invoices share one tab. Filter chips across the top — ALL, ESTIMATES, INVOICES, PAID, PARTIAL, OVERDUE, CONVERTED, DEPOSIT — narrow the list so you can jump straight to open estimates or anything that needs attention.

There are four ways to create a document here: + NEW ESTIMATE (the standard editor covered below), + NEW INVOICE, § SECTIONED (a free-form block builder), and ◆ REX AI (generate from photos, voice notes, or a scope). The last two have their own guides in this category.

§Build and send the estimate

  1. 01Open the customer and go to the ESTIMATES/INVOICES tab, then tap + NEW ESTIMATE. You can also start one from anywhere on the customer via ⚡ ACTIONSNEW ESTIMATE.
  2. 02Add your line items and pricing in the editor, then save. Your customer sees the full line items and the total, so write descriptions you would be comfortable reading across the kitchen table.
  3. 03Back on the row, use 👁 PREVIEW to check exactly what the customer will receive.
  4. 04Need a change? ✎ EDIT reopens the editor.
  5. 05When it reads right, use 📤 RESEND to email the estimate to your customer — it works for the first send and for any nudge after that.
NOTE
Admins can set company-wide Estimate Defaults and Estimate Expiration in company settings, so new estimates start with your standard terms.

§The price book

You should not be retyping the same line items on every estimate. In the editor, 📖 PRICE BOOK opens a searchable list of your saved line items — tap a row to add it to the document. + NEW BOOK ITEM saves a new item with a name, a unit (sq, lf, hr), and a price, so the next estimate starts from your catalog instead of a blank row.

Admins can manage the whole company catalog in the LINE ITEM LIBRARY under Admin Console → Admin lists — the same items every rep sees in the price book.

§What your customer does with it

In the customer portal, your customer sees the estimate with full line items and the total. They can Accept & sign — typing their name in a script face or drawing a signature — or Decline, which requires a reason so you know where the deal stands. An accepted, signed estimate kicks off the deposit and contract chain automatically.
