DEPOSITS AND CHANGE ORDERS

§ INVOICING + PAYMENTS4 min READUPDATED 2026-08

Collect a deposit after an estimate is signed, and keep every scope change billed with change orders.

Deposits anchor your cash flow before work starts, and change orders make sure scope changes get billed instead of absorbed. Both live on the same rows as your invoices, so neither requires a separate system.

WHERE: CUSTOMERS → open a customer → ESTIMATES/INVOICES tab

§Deposits

When a customer accepts and signs an estimate in their portal, Revolve Core auto-drafts a deposit invoice at your company’s deposit percentage (30% by default). The draft is never sent automatically — the app shows an ESTIMATE SIGNED BY … banner with ✎ DEPOSIT and ⚖️ GENERATE CONTRACT buttons so you review the deposit before it goes anywhere.

  1. 01Tap ✎ DEPOSIT on the signed-estimate banner, or on the invoice row itself.
  2. 02Review the deposit amount and details.
  3. 03Send it with 📤 EMAIL — the customer pays through the payment link.

Deposit invoices get their own DEPOSIT filter chip in the workspace, so every outstanding deposit is one tap away.

HEADS UP
The deposit drafts itself, but sending is on you. Until you email it, the customer has signed and nothing has asked them for money.

§Change orders

Use ± CO on an invoice row, or ± CHANGE ORDER from the FINANCIALS tab’s quick actions, to record a scope change against the job. Change orders collect in the CHANGE ORDERS section of the FINANCIALS tab and show up on the customer’s TIMELINE, so the paper trail matches the work.

Company-wide, change orders also appear under JOBS → CONSTRUCTION alongside lien waivers, milestones, progress billing, AIA forms, and retainage. Change-order requests submitted by subcontractors arrive in the APPROVALS queue for sign-off before they touch your numbers.
