Log payments against invoices, scan checks with AI, bring in externally billed work, and handle refunds and credits.

When money comes in — a check on site, a card payment online, a transfer — record it against the invoice so balances, overdue flags, and every report stay true. Payments recorded on a customer roll up to their FINANCIALS tab and to the company-wide MONEY hub.

§Record against an invoice

  1. 01Find the invoice row and tap $ PAY.
  2. 02Enter the amount and payment details in the modal.
  3. 03Save. The invoice moves to PAID — or PARTIAL if a balance remains — and the payment appears in the PAYMENTS section of the FINANCIALS tab.

You can also use + RECORD PAYMENT in the FINANCIALS tab’s QUICK ACTIONS row, or + PAYMENT on the MONEY tab. On the customer’s ASK REV tab you can describe what happened in plain language — Rev answers with a record-payment or mark-invoice-paid card you confirm with one tap, and it can read a photographed check for you.

§Scan a check

Checks are the one method with typing attached — unless you let the camera do it. In the record-payment modal, set PAYMENT METHOD to CHECK and a 📷 SCAN CHECK button appears.

  1. 01Tap 📷 SCAN CHECK and photograph the check.
  2. 02AI reads the image and fills the amount, date, and check number — the fields show AI FILLED FROM CHECK with a confidence value, so verify anything it was less sure about.
  3. 03Complete the remaining check fields and save.

The check fields: CHECK NUMBER (required), BANK NAME, CHECK DATE (required), MEMO — the check’s "For" line — and CHECK PHOTO, which you tap to attach the front of the check. Attaching the photo is required if you want the check image saved with the payment record.

§Payments the customer makes online

Invoices sent with 📤 EMAIL carry a payment link, and portal customers see a Pay button beside each open invoice. Online payments run through a secure hosted checkout for the remaining balance, so partial balances are always charged correctly.

§External invoices

Work billed outside Revolve Core still belongs in the customer’s financial picture. Use ↥ EXTERNAL INVOICE in the FINANCIALS quick actions to bring it in — AI can read a scanned or photographed external invoice to save the typing. Once recorded, it counts toward balance and collected figures like any other invoice.

§Refunds and credits

  • ↩ REFUND CREDIT — issue a refund or an account credit. Refunds collect in the REFUNDS section and feed the refunded stat tile.
  • ✓ APPLY CREDIT — apply an existing credit toward an open balance instead of asking the customer to pay twice.
NOTE
Recording a payment is bookkeeping — it does not move money. The payment link and the portal’s Pay button are the paths that actually charge the customer.
