The company-wide document rules — payment terms, numbering, footers, markup, expiration, late fees, and the printed header.
Every invoice and estimate your team raises starts from the same set of company rules: what the payment terms are, how documents number themselves, what the footer says, when an estimate expires. Set these once and every new document comes out consistent — no rep picks a tax rate on the fly, and no two invoices invent their own numbering.
Each rule below is its own entry in the FINANCIAL group of company settings. The settings index is searchable, so typing the entry name is faster than scrolling.
§Invoice defaults
- ◆Payment terms —
Due on receipt,Net 15,Net 30, orNet 60, applied to every new invoice. - ◆Tax rate — the default rate new invoices start with.
- ◆Invoice number prefix — the text in front of every invoice number.
- ◆Footer — text printed at the bottom of every invoice.
§Advanced numbering and payment QR
INVOICE (ADVANCED) goes a level deeper: turn auto-numbering on or off, define the number format with a template such as INV-{YYYY}-{####}, and add a payment QR code to invoices so a customer holding the paper copy can scan it and land on the payment page.
§Custom fields and statuses
INVOICE CUSTOM FIELDS adds extra fields of your own to invoices — a PO number, a permit reference, whatever your paperwork needs. INVOICE STATUSES relabels the invoice statuses so the words on screen match the words your office already uses.
§Estimate defaults and expiration
- ◆
ESTIMATE DEFAULTS— how many days new estimates stay valid, the default markup percentage, and the estimate footer. - ◆
ESTIMATE EXPIRATION— the validity window, how many days of advance warning you get before an estimate lapses, and whether estimates auto-expire when the window closes.
Expiration is not decoration: the valid-until date prints on the estimate and shows on the cover slide in presentation mode, so the window you set here is the deadline your customer sees.
§Late fee policy
LATE FEE POLICY sets whether late fees apply automatically, whether the fee is a flat amount or a percentage, the amount itself, and the grace days before a fee kicks in.
§Document header
DOCUMENT HEADER controls what prints at the top of estimates and invoices — your logo, company details, and contact information — so the paper matches your brand without per-document fiddling.
