Use SELECT mode to share files to the portal, email them to the customer, download in bulk, assign to jobs, and recategorize.
Working one file at a time gets old fast on a document-heavy job. SELECT mode on the DOCUMENTS tab turns the grid into a multi-select surface: pick a set of files, then act on all of them at once — share, send, download, re-file, or delete.
§Enter SELECT mode
- 01Open the
DOCUMENTStab and tapSELECT. - 02Pick the documents you want to act on.
- 03Choose an action from the bulk bar.
§Share to the customer portal
◉ share publishes the selected documents to the customer’s portal, where they appear on the portal’s Documents tab; ◎ unshare pulls them back. Photos have their own per-photo portal share toggle on the PHOTOS tab, so you control the customer-facing photo set separately.
- ◆The
PORTALtab’s “Homeowner sees” preview shows exactly what the customer’s portal contains right now. - ◆The
PORTALtab’s analytics tiles includeSHARED DOCSandSHARED PHOTOScounts, plus visit activity.
◉ share — and use ◎ unshare if something goes out that shouldn’t have.§Send documents to the customer
📤 send to customer delivers the selected documents to the customer directly. Use it when you want to push files to them, rather than sharing to the portal and waiting for them to look.
§The rest of the bulk bar
- ◆
↓ download all— pull the selected files down in one go. - ◆
⊞ assign to job— file documents against the right job on a multi-job customer. - ◆Recategorize — fix a batch of miscategorized files at once.
- ◆Bulk delete — remove a selection in one action.
§Share with a teammate
Selections can also go to your own team. The share-to-teammate action lets you pick one or more teammates, add a note, and send — each of them gets a notification linking straight to the item. It works from a single file or a multi-select, and the same action appears on photos, contracts, work orders, estimates, invoices, and payments across the app.
