Why customer email lands in spam, what verifying the sending domain fixes, and what a bounce means.
Until a company verifies its own sending domain, email goes out from Revolve Core on the company's behalf. That works, but the customer's inbox sees a different sender than the reply address, and some providers score that down. Verifying the domain is the fix, and it is a one-time DNS job.
§Verify the sending domain
- 01Open
Admin Console → Communication → Emailand start domain verification for the company domain. - 02Add the DNS records shown (the guide "Send email from your own domain" lists them) at the domain registrar.
- 03Press verify. Once green, estimates, invoices, portal links and reminders send from the company domain.
§A connected Gmail or Microsoft 365 account
Personal replies and one-off emails can go from a connected account instead; that uses the person's own mailbox and reputation. The "Connect your own email" guide covers the difference between the two.
§Bounces
- ◆Hard bounce: the address does not exist. Fix the customer email; the record shows the bounce.
- ◆Soft bounce: mailbox full or a temporary refusal. It retries; if it keeps bouncing, ask the customer for a second address.
- ◆Unsubscribed: the customer opted out of marketing email. Transactional messages (invoices, signing links) still send; campaigns do not — see "Sending compliance".
§Still stuck
- ◆Send support the recipient address, the time, and which document was sent; the delivery log shows the provider's response.
