The company activity log, account security, retention and backup settings, and how to treat the danger zone.

Trust but verify: the app keeps a company-wide audit trail of who did what, gives every user real account security controls, and lets admins govern how long data is kept and how it gets out. This guide covers all of it, plus the one part of the console you should approach slowly.

§The activity log

The activity log is the company audit viewer. Every entry records the actor, the action, the entity it touched, and a timestamp. You can filter by entity type, by user, and by date, page through history, and export the result to CSV — useful for compliance requests or reconstructing how a record changed.

TIP
When something looks wrong on a customer — a deleted document, a changed amount — check the activity log before assuming a bug. The answer is usually a name and a timestamp.

§Account security

Security has a company half and a personal half. The company Security setting lives in the settings hub. Each user manages their own protections under the avatar chip → MY SETTINGS → Security: change password, enable two-factor authentication, and sign out everywhere — the switch to flip first if a device is lost.

New-device login alerts are treated as critical: they are among the notification types that always deliver, even during a user’s quiet hours.

§Data retention

The Data Retention setting in the settings hub controls how long records are kept. Voice daily notes carry their own governance — Daily Notes Retention & Privacy and Daily Notes Approval Rules — because they can contain candid field audio.

§Backup and export

Two tools get data out. The Backup & Export setting covers company data export. Separately, Admin Console → DATA & REPORTS → Import/export bundles your configuration — invoice, financial, tax, line-item, payment-term, email-template, and company settings — into one JSON download, and can restore a validated bundle later. Take a bundle before any large settings overhaul so you have a way back.

  2. 02Export the settings bundle and store the JSON somewhere safe.
  3. 03Make your changes.
  4. 04If needed, restore the bundle — it is validated before anything is applied.

§The danger zone

At the bottom of the console nav sits DANGER ZONE: red-bordered, destructive company-wide operations. Every action is gated behind a typed confirmation and recorded in the audit log.
