PHOTO TYPES, TRADES, TILES, AND CUSTOM LISTS

§ ADMIN + BILLING5 min READUPDATED 2026-08

The catalogs admins own — the photo taxonomy, the trade list, the tile registry, the admin lists hub, and the vocabulary settings the whole company shares.

A handful of admin-owned catalogs quietly power the rest of the app: the tags the camera offers, the trades your work orders and sub invites choose from, the tax rates on your invoices, the line items in the price book. This guide walks each catalog and where it is edited.

WHERE: Masthead ⚙ gear → Admin Console → CUSTOMIZATION

§Photo types

CUSTOMIZATION → Photo types is the taxonomy behind the camera. The capture screen is tag-first — a chip row of your photo types sits at the top, and reps tag before they shoot — so the types you define here are the categories your entire photo library sorts by. Add, rename, or retire types here as your workflow changes.

§Company trades

CUSTOMIZATION → Trades is your company trade list, and it feeds two things: work orders (each carries a trade) and subcontractor invites (subs are invited against the trades they perform). Job stage templates are also defined per trade, so a tidy trade list keeps stages, work orders, and subs speaking the same language.

§Tile registry

CUSTOMIZATION → Tile registry lists the tiles available across the app. Built-in tiles are read-only — you can inspect them but not change them — while custom tiles can be registered alongside them.

§The admin lists hub

DATA & REPORTS → Admin lists is a browsable index of your company data as flat lists — 56 of them across eight categories, with search-as-you-type and category chips. Most are read-only views for looking things up; six are editable catalogs, marked with ✎, managed through an add/edit/delete modal.

§The six editable catalogs

  • TAX RATES — the tax rates available on estimates and invoices.
  • PAYMENT TERMS TEMPLATES — reusable payment-terms wording.
  • ESTIMATE TEMPLATES — starting points for new estimates.
  • LINE ITEM LIBRARY — the saved line items behind the 📖 PRICE BOOK in the estimate and invoice editors.
  • DESCRIPTION LIBRARY — reusable description text for line items.
  • SERVICE AREAS — the areas your company serves.
HEADS UP
The default rows in TAX RATES and PAYMENT TERMS TEMPLATES are delete-protected: you can edit them and add alternatives, but the defaults themselves cannot be removed.

§Vocabulary settings

Four settings-hub entries round out the company vocabulary: TAGS (the allowed tag vocabulary and whether reps may add custom tags), SERVICE AREAS (ZIP codes, radius miles, home base), CUSTOM FIELDS (extra fields on customers and invoices), and CUSTOM UNITS (the unit library for line items). Reach each one by name through DATA & REPORTS → All settings or the console’s universal search.

TIP
Reps can add one-off price book items from inside the estimate editor with + NEW BOOK ITEM, but curating the LINE ITEM LIBRARY here keeps names, units, and prices consistent across the whole team.
