CONTROL WHAT APPEARS IN THE PORTAL

§ PORTALS + SUBS3 min READUPDATED 2026-08

Use the per-photo and per-document share toggles to decide exactly what the homeowner can see.

The portal only shows what you explicitly share. Photos and documents each have their own share controls on the customer record, so you can keep internal material — supplier quotes, insurance working files, in-progress markups — out of the homeowner’s view while sharing the finished product.

WHERE: CUSTOMERS → open a customer → PHOTOS / DOCUMENTS tabs

§Photos

Each photo has a portal share toggle. Flip it on to publish that photo to the portal’s Photos gallery, where it appears with its stage and type tags. Leave it off and the homeowner never sees it.

§Documents

  1. 01On the DOCUMENTS tab, enter SELECT mode.
  2. 02Pick the documents you want to change.
  3. 03Use share to publish them to the portal, or unshare to pull them back.

Sharing to the portal is different from 📤 send to customer, which emails documents directly. Shared documents live in the portal’s Documents tab; sent documents arrive in the customer’s inbox. Use whichever fits — or both.

§Check your work

The PORTAL tab keeps score with SHARED DOCS and SHARED PHOTOS tiles, and its "Homeowner sees" preview shows which reports are visible on the customer side. For a full check, OPEN AS CUSTOMER → shows you the portal exactly as the homeowner sees it.

NOTE
Uploads travel the other way too: files and photos the homeowner adds in the portal appear on your side flagged as shared, with "Uploaded by you" badges on theirs.
TIP
Make portal sharing part of your closeout routine: share the completion photos and the final signed documents, then open the portal as the customer to confirm the story it tells is the one you want.
